Where your data is stored
The location of your data, how long we keep it, and how it can be removed.
Location
Core records — accounts and learning activity — are stored on cloud infrastructure hosted in Sydney, Australia. Keeping the primary data onshore is a deliberate choice, and it's what most schools want to hear first.
Some of the supporting services we use to run the platform (for example, email delivery or error monitoring) may process limited data outside Australia. We keep a full, current list of these and are happy to share it. See Third-party services and data access for how that works.
How it's protected in storage
- Data is encrypted in transit and at rest.
- Access is limited to the small number of people who need it to run and support the platform.
- We use reputable, established infrastructure providers rather than managing servers ourselves.
How long we keep it
We hold personal information only for as long as it's needed to provide the service, or for as long as the law requires. When an account or its data is no longer needed, we take reasonable steps to securely delete or de-identify it.
For school pilots, learning data is retained through the pilot so it can inform the end-of-term review. After that, it's kept, de-identified, or deleted according to what the school decides.
Deleting your data
Anyone can ask us to delete their account and personal information at any time by emailing hello@activatar.com.au, or through their profile settings. We'll action it promptly, other than anything we're legally required to keep for a limited period. For school accounts, deletion requests can also come through the school.
